POSITION SUMMARY: Responsible for the coordination, design, planning, construction, and maintenance of buildings, grounds, equipment, machinery, and other facilities. Handles the coordination of building and office space allocation and layout, facilities expansion, communication services, and office services, which may include mail, archives, copy, janitorial, and dinning. Responsible for the coordination, implementation, and maintenance of health and safety programs, security, and loss prevention. LEVEL OVERVIEW The Manager Level receives assignments in the form of objectives and establishes goals to meet objectives. Works on problems of a complex nature and of a diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgement within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Provides guidance to direct reports and lower levels to achieve goals in accordance with established policies. Establishes or recommends changes to policies when necessary. Frequently interacts with customers, supervisors, managers, and senior management. The Manager provides leadership to Specialists, Analysts, Team Leads and Associates, ensuring that assigned team members meet or exceed goals. Assures timeline compliance, and develops implementation/delivery plans. Gives input to Senior Managers or Directors on performance of assigned staff. Trains less-experienced staff members. The Manager is responsible for overseeing the team resources, assisting in budget development, career planning for team members, and input into performance evaluations. The manager is responsible for the structure, schedule and staffing requirements with a major emphasis on management and coordination tasks. Requires a Bachelors degree and 5-7 years of related experience or equivalent combination of experience and education, plus 2-4 years of management experience. Also requires good organizational, analytical, and communication skills, with the ability to interact with all levels of customers, vendors, and management. Knowledge of industry standards and company operations are preferable. PRINCIPAL DUTIES AND RESPONSIBILITIES Develops, implements, and maintains programs to ensure successful, efficient, safe, and cost effective facilities operations. Plans, budgets, and schedules facility modifications, including providing estimates on equipment, labor, materials, and other related costs. Makes periodic or special inspections of buildings, grounds, and other facilities to determine necessary repair work. Recommends and prioritizes repairs, taking into account feasibility, time, and costs. Determines if outside contractors are necessary, and manages them to ensure accuracy and timeliness of repairs. Develops, implements, manages, and monitors existing and future programs, policies, and procedures pertaining to safety, security, and loss prevention. Formulates procedures for use in event of accidents, fires, or other emergencies. Analyzes and reviews loss trend information, and provides recommendations on more efficient and cost effective programs. Maintains integrity of any investigations, confidential information, and high security areas. Prepares safety and security reports for directors or executive management as necessary. Manages efforts with local authorities on any security related issues. Manages the contracted vendor services, such as security system, security guard, dinning, housekeeping, and fitness center. Ensures the quality and effectiveness of these services. Continuously evaluates services, and resolves complaints or recurring problems. Searches for new contracted services and reviews information from vendors for preparing and accepting bids. Manages day-to-day issues with contracted vendor services, which many include, but not limited to, the distribution of the daily/weekly menu from the dinning service, any missed or extra clean-up from the janitorial service, scheduling of new programs for the fitness center, keeping security staff informed of any new or non-routine weekend projects. Resolves all problems, and notifies and discusses recurring issues with executive management. Manages the security systems and procedures, which includes daily downloads of the system, tape back-ups, badge supplies, activating and inactivating badges. Ensures the successful and efficient distribution and maintenance of security badges, which includes picture taking, programming the badges, and the collection of terminated employees badges. Plans, manages, and ensures efficiency, timeliness, accuracy of cube, office, department, or branch moves. Communicates with company employees, management, and executives regarding facilities activities, problems, or changes, keeping the company up to date on all facility operations.
